A large residential rental operator whose day-to-day business depended on a homegrown Quickbase ecosystem.
Conrex, later known as Maymont Homes, used Quickbase as a critical operating layer for lead management, tenant management, renewals and vendor management across roughly 8,000 residential rental homes during Knowtion’s engagement. The applications worked in conjunction with MRI and surrounding systems, making the platform central to operational execution—not simply a departmental database.
The platform had become mission-critical—but the institutional knowledge lived with one person.
The risk became immediate when the employee who created the homegrown Quickbase environment was recruited by a competitor. Conrex was left with a complex system that the business depended on, but few people understood deeply enough to support or evolve.
Key-person dependency
The original application expert was the primary source of knowledge about logic, workflows, integrations and design decisions. When that person left, business continuity risk became a technology problem overnight.
Little confidence in financial data
Conrex had so little faith in downstream Quickbase data that it did not want information automatically flowing back into MRI. Financial and operating handoffs remained highly manual.
Vendor bids required manual re-entry
Vendor pricing and bid information lived in the vendor-management application, but users still had to manually import that data back into MRI—creating unnecessary effort and another opportunity for inconsistency.
A six-month retirement plan
The initial expectation was not to invest in Quickbase indefinitely. Knowtion was brought in to keep the environment viable for approximately six months while the business transitioned away from it.

SendSafely was integrated with the lead-management portal so prospective tenants could upload financial documentation without exposing sensitive personal information through a conventional public Quickbase form workflow.
Expanded vendor dispatch and reporting
Vendor-management capabilities were improved with dispatch workflows, reporting, pricing and bid handling that better supported property operations at scale.
Strengthened rent and renewal workflows
Knowtion built additional layers around rent management and renewals, including notifications, custom reporting and workflow automation.
Reduced public-form licensing exposure
A public-facing Quickbase form had been licensed in a way that scaled cost with internet users or submissions. Knowtion replaced that experience with an HTML front end connected through API, eliminating the need for that costly licensing approach.
Moved large files out of Quickbase storage
Photos, videos and other large attachments were integrated with SharePoint so users could work with them from the application without incurring unnecessary Quickbase storage costs.
Quickbase worked because it stopped trying to be every system.
The durable solution used Quickbase for workflow and operating logic while connecting specialist systems for financials, secure file intake and document storage.

The Quickbase platform was expected to last six more months. It remained useful for three years.
Knowtion’s original role was to stabilize an inherited platform long enough for Conrex to transition away from Quickbase.
